Who we are

FulfillMatch ("we", "us") is operated from Orlando, Florida, and built and hosted by Mentes Inc. This policy covers fulfillmatch.mentesinc.com, the brief wizard, the brand portal and the 3PL dashboard. Questions: info@fulfillmatch.com.

What we collect

• Brief data — what you enter in the matching wizard: company, website, contact name, work email, phone (optional), products, volumes, channels, services, regions, timeline and notes.
• 3PL application and profile data — company, locations, capabilities, integrations, certifications and insurance documents, team contacts, billing details.
• Platform activity — accept/pass decisions, quote sheets, messages and status changes, which are needed to run the matching.
• Technical data — server logs (IP address, user agent, timestamps) kept for security and abuse prevention. Analytics are cookieless and aggregated.

How we use it

• To verify a brief and show it to no more than three verified 3PLs that fit.
• To release a brand's contact details only to 3PLs that accept the brief.
• To let 3PLs build quote sheets and brands compare them.
• To bill 3PLs for plans and accepted leads, and to credit back leads that fail verification.
• To send transactional email (confirmations, new-lead alerts, quote notifications). Marketing email only with consent, with one-click unsubscribe.

What we never do

• We do not sell brief data or contact lists.
• We do not show a brief to more than three 3PLs without the brand's explicit request to rematch.
• We do not publish brand identities on public pages.

Sharing

Matched 3PLs (after acceptance), our hosting and email delivery providers, our payments processor for 3PL billing, and authorities where the law requires it. Each provider is bound to use the data only to deliver its service to us.

Retention

Briefs and quote sheets are kept while the brief is open and for 24 months after it closes, so brands can revisit their comparison. 3PL profiles are kept while the account is active. Server logs are kept 90 days. You may ask us to delete your data earlier.

Your rights

You can ask for a copy of your data, correct it, delete it, or object to a use, at any time, by emailing info@fulfillmatch.com. We answer within 30 days. Residents of California (CCPA) and the EU/UK (GDPR) have these rights by law; we extend them to everyone.

Changes

We will post changes here with a new "last updated" date. Material changes are announced by email to account holders.
